How do I get set up to accept a purchase order (P.O.)?
I'm getting started as a freelance graphic designer. My first client is a university student club. The university only makes payment for services completed for student clubs via purchase order. What does that mean? What do I need to do (or what system do I need to set up) to receive payment for my services?
This really isn't that difficult. It is a matter of being willing to do work and receive payment when the job is finished. That way, the company is sort of offering you a promise to pay, and you agree to services provided - it is a contract. And you are essentially giving them credit at the start of the work, instead of accepting a deposit - they pay when the job is completed. You can also set up payment options - sometimes offering a discount, like 2% 10 net 30 days, that's a common set up.
What you do is agree to accept their purchase order for the work and bill them when work is completed. You provide to them a job number and description of the work. What you need from them are the purchasing information, Company Name, department, person ordering, address, phone number and PO number. They are the ones who write the PO and they will need information from you to do that. Honestly, it is simple, I used to do it all the time. Once they issue a PO, the work can start. They send you the PO and you use that PO reference number on everything related to the work. When you are done with the job and deliver the work, you prepare an invoice referencing the PO number for payment.
Now, with all that information it is this easy: get their name, address, phone #, fax #, person ordering. You provide the same. They issue a PO number. You start work, using PO number for work order. You deliver work. You prepare invoice referencing PO number for job. They pay you. Consider a PO as a work order, but it is a contract for work, it is a legal contract.
