Organize Your Workplace - and You
Let me tell you about Don and Anthony.
Don's office was like a scientific lab. Everything - and I mean everything - was orderly, neat and in its place. Sometimes when I'd leave his office after visiting him I'd find an excuse to sneak back into his office and turn a binder upside down - just to mess with his head (don't worry, he was a friend). We'd have a laugh in our next conversation about how he'd walk back into his office and know something wasn't right. He'd experience anxiety until he found the source of his trouble - the upside down binder. Organized? Or anal retentive?
Anthony's office was just the opposite. The chaotic mess a tornado leaves in its wake could have been the pattern Anthony used to organize his office. Stacks of paper (and not neat stacks either), strewn paper, desk items under paper sat all around Anthony. It sat on the credenza, the top of the file cabinet, the window sill and his desk. The perfect gift for Anthony as he sat in his chair surrounded by this chaos would be a snorkel. Disorganized? Or just plane sloppy?
What do you think? Was one organized and one not? Not really. They were both organized. They were both successful. They were both leaders in their companies. And they were both happy.
"How was Anthony organized?" you immediately ask. Let's talk about that...
The fourth law of achievement is the law of efficiency which states: "Economy of motion saves you time and energy." This law deals with productivity, efficiency and organization. When a person wants to organize his or her workplace, they are attempting to achieve the same goal - get more productive and efficient. Thus, an office that is set up to provide "economy of motion" will give the desired results while "saving time and energy."
There are two components to achieving economy of motion - structure and systems. Whether it is a bicycle, a military operation or your workplace - all need a clear structure and a set of smooth, efficient systems to function effectively. When we implement the fourth law of achievement in an organization by creating structure and systems, we see immediate results in the company and individuals becoming organized, which leads to greater productivity. It's the same for you and your office.
Going back to Don and Anthony...
Both of the men had a structure and a system to their workplace organization. Obviously, they were different. They couldn't have been more opposite. But you could ask either man for a piece of information and both could probably find it and hand it to you instantly. Both used their workplace in a comfortable way that made each of them productive, though their personal styles of structure and systems could be frustrating to the other.
When you use the law of efficiency to organize workplace, it becomes quite simple, unless you are suffering from a dysfunctional illusion I will explain in a moment. Remember the essence of the fourth law of achievement that can help you organize your work space is to "save time and energy" (be more productive) by using "economy of motion" (obtained by creating clear structure and efficiency systems). Following are three suggestions that can help you work with this law:
Consider the goal around which you want to create your organization.
Is it a health or body mechanic issue and you need your work space to be more ergonomic? Do you want to prevent items from getting lost? Do you want your work space to have a cleaner feel? And if you just want "to be more organized" you need to explain what does "organized" mean to you. You will have personal criteria for the "look and feel" of being "organized." Clarifying your desired outcome will organize your work to get organized.
Create a structure that helps meet your goal.
"Structure" in a workplace would include furniture, tools and technology. Keeping the goal identified in the previous step in mind and your space limitations, what kind of desk, chair, cabinets, lighting, and accessories would give you the best infrastructure to meet your goal? What kind of telephone, computer or other technology could assist you? Tools, furniture and technology can leverage you and how you like to work. They can make your work experience more comfortable as well as efficient. And a person who is comfortable has more motivation and energy to be productive.
Create efficiency systems that promote flow.
Everything that goes in and out of your workplace, from paper to information, from people to you, from your free-flowing, creative work to your tedious, repetitive work - all need to have an efficient flow. Electricians, farmers, communication specialists and nature itself all depend on "flow" to be successful. Identifying every repetitive function or process, then creating an efficiency system to give it productivity creates the organization of process that can flow within the organization of your workplace. If organizing your workplace is relatively simple, what is the problem? What gets in the way? Habits, inertia, not investing the time to stop and get organized, not knowing how? These are reasons people don't organize their workplace. However, there is another reason. It is the dysfunctional illusion we hinted about earlier. We'll tell you about it now.
The dysfunctional illusion that accompanies the desire to organize a person's workplace is the belief that organizing the workplace will organize the person. That is not necessarily true. Anthony's workplace would appear to be quite disorganized to most people, but he was fine with it because it had a structure and set of systems tailored to his style and his needs. Anthony was organized though his workplace was chaotic for others. We've seen the opposite: A person's workplace immaculately organized but the person was not organized or productive at all.
We have seen people who tried method after method, one theory after another, one organizational tool after another, but none worked. Why? Because the person is unorganized. The person lacks the self discipline to follow a system within a structure. No matter how organized your workplace, no matter how well your systems flow - it will not fix you if you remain unorganized.
If this problem describes your problem there is a solution. The source of your disorganization, procrastination, or resistance can be identified and fixed. Consider talking to a counselor or a coach. Work with them to identify your issues that prevent you from being organized. Then follow the steps in this article. You will be able to organize your workplace...finally!

can i use a laptop at school?
can i take my laptop to school i'm a middle school student and i looked in the handbook and it doesn't say any thing about it. in my backpack i have 2 2" binders full of notes and 2 350 page spirals and all that makes my backpack weigh 15 lb. I think a laptop would be better note taker and organizer and easy-er on my back.
Call the school and ask. They would need wireless connection capability so you could use it in the classroom. If you are allowed to use it, never leave it unattended to avoid losing it.
